Day of Wedding Coordination

To ensure a flawless event, Shreveport Aquarium encourages you to utilize a Professional Wedding Planner or Coordinator. This investment for having your wedding in the hands of a professional is priceless. For those couples who have all the planning under control, we do include day of coordination as part of our wedding packages.

Our Onsite Event Coordinator will assist you with room diagrams, timelines, vendor recommendations and coordination. This is not a full coordination service. We are happy to answer questions and give advice but the service only pertains to the services we are providing for your event. 


What's included. Our team will:

  • Help you choose the best event space and bar package to meet your needs

  • Work with our in-house caterer to help you decide on menu items

  • Recommend other vendors based on your needs

  • Communicate with vendors to arrange walk-thrus if needed. Let them know where they can set up, what is not allowed, where things can be stored, power hookups, and arrange times for drop-off and pick up

  • Determine your floor plans (set up ceremony, tables and chairs, head table, DJ, dancefloor, cake, gift, sign-in table and catering stations)

  • Arrange day/time for ceremony rehearsal (weekday evenings only)

  • Accept vendor deliveries during normal business hours

  • Set up tables/chairs

  • Assist with wedding rehearsal run through (Line up wedding party, cue music, cue wedding party for walk down aisle)

  • Coordinate reception timeline with your DJ or MC (you will need to have one or the other if you plan on having a receiving line, bride & groom announcement, toasts, first dances, bouquet & garter toss, cake cutting and any other reception festivities)

  • Oversee breakdown and vendor pick up of rental items (by 11 a.m. next day)

What is not included (this list is not inclusive):

  • Booking your vendors and negotiating contracts

  • Vendor meetings and planning

  • Setting up a wedding website

  • Wedding budget management

  • Invitations, party favors, welcome bags

  • Creating seating chart based off the floorplan

  • Booking any rentals (linens, décor, tents, arches, centerpieces, additional tables/chairs, equipment)

  • Booking guest hotel rooms and transportation (we do have preferred hotel rates available at Bally's as well as special bridal suite and spa packages)

  • Wedding design and décor (must be approved by the aquarium)

  • Wedding music, AV, speakers (we have a sound system for rent for $100)

  • Determining reception timeline and making announcements

  • Set up of lighting/draping or any other outside vendor/rental equipment

  • Decorating (linens, centerpieces, flowers, party favors and other décor)

  • Seating guests

  • Gift table/guest book table management (please assign someone to be responsible for taking home these items

  • Managing personal items (please assign someone to take home all other personal items: toasting glasses, cake knife, cake top, décor etc)

  • Paying vendors

  • Cake cutting service and setting up cake 

  • Packing up remaining wedding cake (aquarium does not provide this service or provide containers for this)
